Development Associate  (20 hour a week non-exempt position):

Position Overview:  Provides a wide variety of skilled administrative and event support for the YWCA Executive Director, Director of Development, and board of directors. Responsibilities involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion and judgment. Assumes responsibility for a variety of fund development activities including event planning and execution, coordination and outreach with fund development partners and organizational supporters, grant calendar management, Salesforce data entry, and researches/analyzes data and develops reports for management decision-making. The Development Associate also supports the board of directors including preparing board packets and attending board or similar meetings to take, transcribe and distribute minutes. Special assignments as required.

The Development Associate must be a proactive, well-organized multi-tasker, who has the ability to think critically, anticipate needs, and offer solutions.  The successful candidate will be one who is comfortable working in a dynamic, fast paced “roll up your sleeves” type of environment, all while managing the most intricate of details.

Reporting Relationships:  Direct report to Development Direct                               In-direct report to Executive Director

Specific Responsibilities

  • Fund Development:
    • Salesforce updating of Development Director and Executive Director’s contacts and activities;
    • Grants calendar maintenance;
    • Coordination of fund development event set up, mailings and e-blasts through Constant Contact;
    • Prospect research; and
    • Planning and coordination of cultivation events, including, but not limited to speakers series.
  • Marin Women’s Hall of Fame Event (under supervision of Executive Director):
  • Plan and execute annual Marin Women’s Hall of Fame gala, including but not limited to:
  • Constant Contact event setup, maintenance, and reporting
  • Vendor contract management
  • Nomination and selection committee coordination
  • Sponsor sales coordination
  • Media coverage coordination
  • Pre-event inductee activities – private dinner, photos, biographies
  • Event registration and table assignments
  • Volunteer coordination for pre-event and day-of-event needs
  • Coordinate MWHF Announcement Reception in January
  • Coordinate Marin Women’s Hall of Fame TV show tapings
  • Board Support:
  • BOARDnetwork maintenance and updating (intranet tool)
  • Board calendar and roster maintenance
  • Board and committee meetings logistics and scheduling
  • Board meeting package assembly and advance distribution
  • Board meeting minutes and maintenance of board book
  • New director on-boarding coordination
  • Director photos and biographies for website
  • Coordination and distribution of Executive Director Report


  • Passion and commitment to YWCA’s mission to eliminate racism, empower women, and promote peace, justice and dignity for all
  • Bachelor’s degree (unless extensive experience is demonstrated)
  • Strong written and oral communication skills
  • Excellent organizational skills
  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) – high level of proficiency
  • Ability to anticipate executive needs
  • Friendly and professional manner
  • Discrete and tactful
  • Previous development experience a plus
  • Salesforce, Adobe Illustrator, Photoshop and Constant Contact skills highly desired
  • Ability to multi-task manage change and work under pressure to meet tight deadlines
